Locate the original messages

Some mail lives on a server; other messages may be in a local archive. Check the account type and whether older folders appear in webmail. Seeing recent messages does not establish that the complete history is retained.

PST and OST are not equivalent backups

A PST can be a local archive or export. An OST is usually associated with an account’s cached data; moving it is not a universal recovery method. Capabilities also vary between Outlook versions.

Check more than messages

Contacts, calendars, signatures and rules may require separate preservation. List the required items before work starts. Verify a large archive through an appropriate opening or import check, not just its file size.

Agree on migration scope

Explain whether all mail history or simply a functioning account is required on the replacement computer. Company mail may require administrator involvement. Keep account passwords private and discuss software licensing separately.
